Approval rules – How do you set up an approval rule for a learning intervention?

With an approval rule, you can ensure that employees only gain access to a learning intervention after it has been approved by a designated manager. This provides control and visibility over who has access to which trainings.

How does it work?

  1. Create an approval rule

    1. In the LMS, go to Workflows > Approval rules.

    2. Click Create in the top right corner and select Approval rule.

    3. Select Learning intervention approval – this can be applied to:

  • Internal events

  • Online trainings

  • In-company trainings

Next, fill in the following sections:

  • Basic information:
    Provide a name and description for the rule.
  • Involved users:
    Select the users for whom approval is required.
  • Involved learning interventions:
    Choose whether the rule applies to an entire learning format (such as all online trainings) or to specific learning interventions.
  • Approval managers:
    Assign the managers who are allowed to review and approve requests.
Once the rule is active, users must submit a request before gaining access to the learning intervention.

2. Submitting a request by the employee

  • Users who fall under an approval rule will see a request form when viewing the learning intervention.
  • They can optionally add a motivation to their request.

3. Managing learning requests

In the LMS, go to the Requests tab. Managers have the following options:

  • Approve:
    Approve the request, optionally adding a comment. The user gains access.
  • Reject:
    Reject the request, optionally providing an explanation. The user does not gain access.
  • Withdraw (by participant):
    The user cancels their own request.
  • Cancel (by manager):
    A previously approved request is revoked.
    ➤ The user loses access and any progress, unless the learning intervention has already been completed.
