What is the login without an email address?
The login without an email address allows users to access the learning platform using only a username. For the first log-in, a one-time password is needed. This feature is intended for organizations where not all learners have their own email address.
Note: New usernames can be created with help from our implementation team when using integrations like CSV, AFAS or Public API. Please contact our support team for more information.
Who is this login method intended for?
For users who:
do not have an email address
are imported into the LMS - only via an integration - with a username
How is a one-time password generated?
There are two possible scenarios for how the one-time password is generated.
Scenario A
The one-time password is being sent to Studytube from your HR system via the integration.
In this case, you, as an LMS-Admin, can use the one-time password from your HR system and hand it over to the user.
The user can log in following the steps listed below (see: How does the login process work?)
Scenario B
In case we do not receive the one-time password from your HR system via the integration, Studytube can generate the one-time-password for you. Afterwards, you can find it in the report, as shown below.
Important: Please reach out to support if you want to make use of this option, as the generation of one-time-passwords is not active by default!
For LMS Admins:
You have already reached out to Studytube before, to demand the generation of one-time passwords?
Then you can follow these steps to find the one-time-passwords in the LMS report:
In the LMS, go to “Users” and click the download icon: “Generate report”
Select the fields “Username” and “One-time password” and other relevant fields. We recommend using at least “First name” and “Last name” to identify the user.
Receive the generated report via email
Share the login details from the report with users (username + one-time password)

How does the login process work?
For users:
Receive username and one-time password from LMS-Admin
Go to your academy’s login page
Log in with username and one-time password
Set a new password during the first login
For future logins, use your username + new password

What if a user without an e-mail address forgets their password?
The admin must generate a new one-time password for this specific user.
To do this, go to the LMS > People and open the user profile of this specific user.
Here, click on the three-dot-menu and choose “generate new one-time password”:

Afterwards, repeat the steps 1–4 from the admin instructions.
When is the password changed?
Immediately after the first login:
Users are prompted to set their own password.
The one-time password gets inactive as soon as the new password is set.
