How do I see what went wrong in the synchronization with our HR system?

When using an AFAS integration or a CSV integration with your HR system, it is possible to see in the LMS whether the synchronization was successful. In this article, we explain how to identify any synchronization error messages, what they mean, and how to resolve them. The following topics are covered:

The Synchronization Logs

To see if the synchronization was successful, go to the 'Settings' tab and then 'Synchronization Logs'. Sometimes the synchronization is not entirely successful, and as a result, certain employees or managers are not synchronized. In the Synchronization Logs, you will see the message 'Partially Completed'.


Searching and Filtering

To see exactly what went wrong, you can click on 'Partially Completed'. You will then be directed to the 'Integrations Logs'. In this screen, you have several options:

  • Search for employees or managers in the search bar.
  • Filter by rows with a specific status. This way, you can, for example, bring up all failed rows so you can correct any errors in your HR system.



Error Messages Explained

When you have found the employee/manager you were looking for, you can click on 'Details' to see exactly what your HR system has sent to Studytube. Here you can also view missing and/or incorrect information for the employee or manager. You can identify this by the respective error message:


Error messageMeaning
UID must be providedThe user's UID is missing.
Email must be provided
The user's email address is missing.
Email is already in use
The specified email address is already used by another user.
Email is invalid
 The email address format is incorrect (e.g., missing an @ symbol).
First name CAN_NOT_BE_BLANK
 The required 'first name' field is empty.
Last name CAN_NOT_BE_BLANK
The required 'last name' field is empty.
First name is too long (maximum 255 characters)
 The user's first name is too long. This error message can also occur for other fields such as last name, address, etc.
First name ($#^[]\\%) are not allowed

The first name contains invalid characters. This error message can also occur for other fields such as last name, address, etc.


Resolving Error Messages

If you are using an HR integration with Studytube, then your HR system is always the source for employee data. If you have discovered an error message, for example, that an employee's email address is missing, you resolve this by correcting the data in your HR system. If you do not know how to do this, contact your ICT or HR department.
