Let’s start at the beginning: Each event has one or more sessions. And each session has one or more dates.
After each date, you can manage attendance per date. Once all dates have passed, you can manage the completion status for the entire session.
You can manage attendance for each date once that date has passed. Although it is not mandatory, we recommend entering the correct status. If no action is taken, “Attendance not confirmed” will appear in all event-related reports.
Entering the completion status is mandatory—it confirms whether a participant has completed the event.
This status determines whether the participant will receive the following:
A certificate upon completion
Progress in a learning path
If applicable for this event:
Relevant qualifications
Educational credits
You can only complete a session once all dates in that session have passed. Studytube provides two methods to complete a session:
1. Via the event overview page:
Navigate to the "Sessions" tab on your event’s overview page.
Select the relevant session.
Click the “Finalize session” (checkmark) icon at the end of the row.
A new tab will open where you can manage the completion status per participant or select all participants at once. You can also add a note, educational credits, or a grade.
Selecting “Finalize session” means the participant has fulfilled all requirements to complete the event.
The "Finalize session" option is located at the bottom right of the page. Clicking it will finalize the session.
⚠️ Important: Once a session is completed/finalized, no further changes can be made.
This includes:
Editing grades and/or educational credits
Adding notes
Adding/removing participants
TIP: Have you completed the session but still need to add a participant afterward?
Create a new session for that participant so you can still complete the event for them.

Adjustments in bulk
Finalize session
2. Via the shareable participant list:
- In the session overview, you’ll find the option "Share link"
- Clicking this option generates a page where participant attendance can be managed—similar to the options available in the LMS. Completing the session is also possible from this list.
