In short: If a provider (partially) credits a booking, you'll receive a credit invoice as a customer, followed by a refund from the provider. This article explains what a credit invoice is, what exactly you'll receive, where to find it in the LMS, and what you need to do yourself.
If a provider (partially) credits a booking, you as a customer will receive a credit invoice. Below we explain what this means and what you need to do.
What is a credit invoice?
A credit invoice is a document a provider uses to (partially) reverse a previously sent and paid invoice. This happens, for example, if a training was canceled, there was an error in the invoice amount, or costs no longer apply.
What will you receive?
- A credit invoice, sent directly by the provider. Keep this for your own records.
- A refund from the provider, within 30 days of the credit invoice being submitted.
Where do you see your credit invoices in the LMS?
The provider is responsible for submitting the credit invoice via the provider portal. Only then is the credit correctly registered in both the provider portal and the LMS.
Go to Financial > Insights > Credit notes. Here you'll see an overview of all submitted credit invoices, with the following details for each one:
- the transaction number;
- the related request ID;
- the credit amount.

What do you need to do yourself?
In most cases, nothing — you simply wait for the refund. Do check that the amount on the credit invoice matches the original invoice and the agreed terms, and that you receive the payment within 30 days.
Note: the credit flow is relatively new and we're continuously working on improvements. For now, you can only view the status and the request in the overview.
Question about your credit invoice or refund?
Please contact the provider first; they're responsible for both the credit invoice and the refund. Stuck, or not hearing back? Let us know at invoicing@studytube.nl and we'll take a look with you.
